The Annual Conference will take place at the Anaheim Marriott, located at 700 West Convention Way, Anaheim, CA 92802.

Cancellation, Terms & Policies

All registration fees for the 2025 NHMA Annual Conference, must be paid in full at the time or registration. Credit card payments are preferred. Should you need to pay with an alternate form of payment, please contact LaShawn Maloy at lmaloy@nhmamd.org.

Registration Cancellation Policy

NHMA looks forward to seeing all of our registrants at our 2025 Annual Conference; however; we do understand that circumstances can occur, affecting your attendance at our event.

Conference Refund and Cancellation Policy

The NHMA Annual Conference Cancellation and Refund Policy is as follows:

  • 45+ Days Prior to Conference: 100% Refund
  • 15-44 Days Prior to Conference: 50% Refund
  • Less Than 15 Days Prior to Conference: No Refund can be Provided

Unforeseen Circumstances Defined for Refund and Cancellation

Unforeseen circumstances are an event that is unexpected and prevents NHMA from continuing with a conference, training, or webinar. Examples of such circumstances can include, but are not limited to, inclement weather or other natural disasters, site unavailability, technology challenges, and presenter absence.

Any cancellation request received less than 10 business days prior to a scheduled event (or after the event date has passed) due to an extenuating circumstance may be reviewed by NHMA.

Liability
I acknowledge that I will be participating in the NHMA Annual Conference events and activities of my own free will and intention. I assume responsibility for all risks associated with my participation in these events and activities. By registering for this conference, for myself, my estate, and my heirs, I hereby release and discharge and agree to indemnify and forever hold harmless NHMA and its members, managers, officers, directors, agents, volunteers, representatives, and employees, from any and all causes of action and damages arising from or relating to my participation in the conference, except to the extent caused solely by NHMA negligence or misconduct. I also agree not to allow any other individual to participate in my place (unless I notify NHMA of the need for a substitution for my conference registration in advance and such individual executes the registration form and any required agreements and releases).

Constent to Use Photographic Images
NHMA will build a photo, quote and video library of the NHMA Annual Conference that NHMA may use for its internal and external purposes. By participating in the NHMA Annual Conference 2025, attendees grant NHMA the right to use attendee photographs for such purposes. If attendees are interviewed and/or video recorded, NHMA will seek express permission for use. All photographs, recordings and quotes shall become the property of NHMA and may be displayed, distributed or used by NHMA for any such purpose, and in any media, whether print, electronic or on the NHMA website, and without payment of any royalty.

Conference Badges

Conference attendees are reminded that it is important to wear your badge at all times during conference hours, sessions, and events. This allows you uncomplicated access to all Conference events permitted by your registration. Please remember to remove your badge when you are outside of the NHMA Annual Conference and events.

Conference Etiquette

To make the conference experience an enjoyable event for all attendees, we ask that you please keep the following in mind:

As a courtesy to our speakers, please refrain from talking on your cell phones during presentations and turn off the ringer. Please keep in mind that participants of this Conference are in attendance to learn. Therefore, in consideration of all attendees we ask that you please take any conversations that are unrelated to the program outside the session rooms.

COVID Policy

NHMA does not require mandatory COVID-19 controls such as vaccination, masking or reporting. However, the organization strongly encourages attendees to be vaccinated against Covid-19 and up to date with boosters. In all situations, attendees must adhere to government, local or location specific health and safety requirements, including those relating to Covid-19 infection control.  

Under 21 Policy

No one under the age of 21 will be served alcohol at NHMA events. Attendees may be asked to produce identification to confirm their age.

Code of Conduct

NHMA has zero-tolerance for any form of discrimination or harassment, including but not limited to sexual harassment by participants or our staff members at our events. If you notice that someone else is being subject to unacceptable behavior, or have any other concerns, please notify a conference organizer as soon as possible. The NHMA team will be available to assist those experiencing unacceptable behavior so that all participants feel safe for the duration of the conference.
